 The Sayles Family Reunion Association Constitution & By-Laws

ARTICLE I - NAME
The name of this organization shall be the Sayles Family Reunion Association and the name of ALL family reunions shall be “The Sayles Family Reunion” there are NO exceptions.  Variant spellings of the name (Sales, Sayle & Sailes) maybe added to the family reunion name at the time when we locate relatives with those surnames.
 
ARTICLE II - PURPOSE
The purpose of this organization is to strengthen the bond of kinship among all
Sayles and extended family and to encourage pride of our Sayles family heritage.  Secondly, to revitalize Sayles family unity and harmony through family reunions and related activities by creating a supportive atmosphere. Third, to foster continuing research and publish research documenting the history of the Sayles family, from our ancestors to present generations. 
 
ARTICLE III - MEMBERSHIP
Membership in the Sayles Family Reunion Association shall be open to all persons related to the Sayles family, including all variant spellings of the name (Sayles, Sales, Sailes and Sayle).

ARTICLE IV– MEMBERSHIP DUES
A national membership fee of $20.00 shall be paid per adult (18 years and older) for seed money and expenses related to the administration of the association annually by January 31st.
 
ARTICLE V – NATIONAL & LOCAL CHAPTER OFFICERS
The National officers of the Sayles Family Reunion Association shall be a
President, a Vice-President, a Secretary, and a Treasurer all elected by the
membership majority vote during the reunion family business meetings.  The local chapter officers shall be a President, a Vice President, a Secretary, and Treasurer all elected by the local membership.  Their duties shall be as follow:
 
President - shall preside at all meetings, issue a call to all meetings, and perform other functions and duties as they may pertain to the office of the President. National President performs these duties on a national level and at the annual business meetings held at each family reunion.
 
Vice President - shall act in the president's absence, serve as parliamentarian, and perform such other duties as they may pertain to the office of the Vice President.  National Vice President performs these duties on a national level and at the annual business meetings held at each family reunion.
 
Secretary - shall keep record of all local proceedings, maintain contact information for all relatives, and perform other duties as they may pertain to the Secretary.  National Secretary shall keep record of the proceedings of the annual business meetings.
 
Treasurer - shall collect, document, receipt, and deposit all monies from local
membership dues, fundraiser profits, and reunion fees in the event your chapter is the host city. The Treasurer shall record all financial
expenditures, and perform other duties as they may pertain to the office of the Treasurer. The Treasurer shall also provide bi-annual financial reports to local chapter members and an annual report to the National Treasurer. The National Treasurer shall report all finances at the business meetings at the family reunion.
 
ARTICLE VI - ELECTION OF OFFICERS
National Election of officers shall be held every 4 years at the business meetings during the family reunion. Any vacancies during the interim between business meetings shall be filled by appointment of the National President. Local Chapter Election of Officers shall be held locally every 4 years. Services provided as officers of the Sayles Family Reunion Association or as members of committees shall be voluntary service.
 
ARTICLE VII - FAMILY REUNION
A reunion for the Sayles family will be held annually during the 3rd weekend of August. The reunion location will be determined by majority vote during the voting period at the current reunion, the reunion will go to the city with the most votes. Please consult your chapter members before volunteering your city and accepting the responsibility to host a reunion. Once your city accepts a reunion for a given year the family will be counting on you to follow through with the voted plans.
 
ARTICLE VIII – REUNION HOST CITY
The Reunion Host City local chapter shall be responsible for planning,
coordinating and administering the annual family reunion. The Reunion Host City local chapter shall appoint a Reunion Committee Chairperson and all members of that chapter shall be given the opportunity to be active in the planning process.  The Reunion Committee Chairperson shall appoint committees to oversee every aspect of the reunion.
 
ARTICLE IX - FINANCE
No officer, committee, and/or committee member shall receive any funds or incur any expense for the local chapter unless authorized in writing by the President, with concurrence of the Vice President. Nor shall the Treasurer or other officers make any payment except for expenditures that have been approved by the local chapter. The National treasurer shall be responsible for developing and distributing financial procedures. The National Officers shall monitor the adherence to the established financial procedures. Each chapter shall open a bank account named “Sayles Family Reunion” it is recommend that the account be opened at a credit union because they normally don’t have so many fees and low minimum amount requirements. All Treasurers shall utilize a ledger book to record all transactions, and a receipt book to give everyone a receipt for all deposits.
 
ARTICLE X – FUNDRAISING
Local chapters shall consider having fundraisers to raise money to deposit in the bank whether they are hosting the reunion or not. The members of the local chapters shall determine disbursement of fundraising proceeds.
 
ARTICLE XI - BUSINESS MEETINGS
A business meeting shall be held on Saturday morning during the annual reunion, or such time as determined by the National Officers at the site of the annual family reunions. These family business meetings are open
to all members. Final decisions on issues brought to the business meeting shall be
passed by majority vote of members present at the business meeting.
 
ARTICLE XII - RATIFICATION
These by-laws became effective at the business meeting held August 18 – 20,
2006 during the Grand Rapids, Michigan reunion and was affirmed by vote by the majority of the Sayles Family members present. Upon ratification and
effectuation of these by-laws, the Sayles Family Reunion Association was officially organized for family fellowship and pride.
 
ARTICLE XIII - AMENDMENTS
These by-laws may be amended by a Majority vote of members at the regular
family reunion business meeting of members present, provided the proposed
amendments have been submitted to the local chapter in writing before the
meeting.
 
ARTICLE XIV - DISCLAIMER
The Sayles Family Reunion Association disclaims responsibility for the actions and personal opinions of individual members who are in violation of the association's policies and procedures.

We, the National Officers of the Sayles Family Reunion Association do hereby
subscribe to these articles, and in accordance with the wishes and desires of the full membership of the family reunion, and by our signatures, establish the Sayles Family Reunion Association.
